Gym access control system
What is a gym access control system?
A gym access control system manages who can get into your building, and when, without someone standing at the door. It links your membership records to a physical door: an active member gets in, a cancelled one doesn’t, and every entry is logged. It’s what makes 24/7 and extended unstaffed hours possible.
How the types compare
| Method | How it works | Trade-off |
|---|---|---|
| QR / app check-in | Member scans a code on entry | Cheapest to run; needs a staffed or turnstile setup to stop tailgating |
| PIN keypad | A code per member on a keypad | No hardware for the member to lose; codes get shared |
| Fob or card | Physical credential on a reader | Familiar and reliable; lost fobs are an ongoing admin cost |
| Mobile credential | Phone acts as the key | Nothing to issue or lose; depends on the member’s phone |
The question that matters more than the method: does the door hardware talk to your membership system automatically? If cancelling a membership doesn’t revoke access without someone remembering to do it separately, you don’t have access control — you have two systems and a manual process between them.
Access control vs check-in tracking
Easily confused, and worth separating before you buy.
- Access control physically governs the door. It can refuse entry.
- Check-in tracking records that someone arrived. It can’t stop anyone.
Plenty of gyms need only the second — a staffed reception with attendance data. Only unstaffed hours require the first, and it costs considerably more.
Why it matters for your gym
Access control is what lets you sell hours you aren’t paying staff to cover. That’s the entire commercial case, and it’s a strong one.
The risk is what you’re locked into. Some gym platforms sell proprietary hardware that only works with them, which turns a software decision into a hardware one — and if you ever change platforms, the readers on your doors become scrap. Ask what happens to your locks if you leave, before you sign.
How PATO handles it
Two levels. QR check-in for staffed gyms that want attendance data and a kiosk. Access Pro for unstaffed hours, which connects to smart locks, keypads and card readers — including hardware you already own. Access is issued when someone joins and revoked when they leave, automatically, because it’s driven by the same membership record.
No proprietary hardware. If you ever leave us, your locks keep working.
Common questions
- Do I need access control for a staffed gym?
- No. Check-in tracking gives you the attendance data without the hardware cost.
- What happens in a power cut?
- Depends on the lock, and it’s the first question to ask any vendor. Some fail open, some fail closed, and the right answer depends on your fire regulations.
- Can I run 24/7 access with a small gym?
- Yes — it’s the main reason small operators can compete on opening hours.
